Refund & rescheduling policy
Rules for clinic seats, tutoring hours, intensives, and journal reviews booked with Cortex Helix Field Academy Limited.
Eligibility
Refunds apply to fees paid for educational sessions described on this site. Because no checkout runs on the website, refunds relate to invoices or transfers confirmed by our Sha Tin desk.
Timeframe
Full refund requests must arrive in writing at least seven full days before the scheduled session start. Requests between seven and three days may receive a partial refund of 50% of the session fee. Inside three days, fees are generally non-refundable except where required by Hong Kong law.
Full and partial refunds
A full refund returns the session fee when we cancel a clinic or when you cancel within the seven-day window. Partial refunds apply to mid-window cancellations as stated above. Deposits used to hold limited seats are credited toward the fee; unused deposits follow the same timing rules.
Non-refundable items
Printed take-home packs already produced for a named participant, private tutoring hours already delivered, and completed journal reviews are non-refundable. Custom chart intake work begun for private tutoring may be deducted from any refund at an hourly studio rate disclosed in your confirmation.
Rescheduling
You may reschedule once without penalty if you give at least five days’ notice and seats remain available. Further reschedules may incur an administrative fee of HK$200.
No-shows
Failure to attend without notice forfeits the session fee. We may offer a single makeup clinic seat at our discretion when capacity allows; makeup seats are not guaranteed.
Work already started
If a private session or journal review has begun—charts reviewed, notes drafted—the completed portion is charged and only the unused remainder may be considered for refund.
Purchased materials
Classification cards and panel packs included in a seat fee stay with the participant after attendance. Unused materials for cancelled seats that were already printed may be withheld from the refund amount at cost.
Refund process and method
Email info@synap-parallaxfield.click with your name, session date, and payment reference. Approved refunds are returned by the original transfer method within fourteen business days.
